When your organization oversees more than one property, the ability to structure and monitor them with clarity becomes essential. Platuni Property Manager is designed to support teams that handle diverse assets such as single family homes, multi family buildings, student housing communities or mixed use portfolios. A clear portfolio structure helps your team stay organized, maintain accurate records and understand performance across all locations.
This guide explains how to group properties by location, ownership or asset class and how to switch between individual property views and the full portfolio view.
How to group properties by location, ownership or asset class
Grouping your properties creates order and helps your team move through the platform with ease. Each group reflects how your organization manages its assets in the real world.
Grouping by location
Location based grouping is useful for teams that operate across several cities, neighborhoods or regions. Organizing by location helps you compare performance, assign staff geographically and understand local trends.
Examples of location groupings
• City based groups such as Toronto, Vancouver or Saskatoon
• Neighborhood groups such as Downtown or North Campus
• Regional groups such as West Coast or Prairie Region
How to create location groups
- Go to the Portfolio or Properties section.
- Select Create new group.
- Choose Location as the grouping type.
- Add the properties that belong in that region.
- Save your group for future filtering and reporting.
Grouping by ownership
If your company manages properties for multiple owners or investment partners, grouping by ownership allows you to segment operations and provide accurate reports for each owner.
Examples of ownership groupings
• Owner A properties
• Family Trust Portfolio
• Joint Venture Units
• Third Party Managed Buildings
How to create ownership groups
- Create a new group.
- Select Ownership as the category.
- Add the relevant properties.
- Save the grouping so your team can filter performance, payments and maintenance by owner.
Ownership grouping helps with financial reporting, invoicing, compliance and communication with stakeholders.
Grouping by asset class
Different asset classes require different management approaches. Grouping by asset class keeps your workflow clear and supports more accurate reporting.
Examples of asset class groupings
• Single family homes
• Multi family buildings
• Student housing
• Affordable housing
• Co living communities
• Mixed use buildings
How to create asset class groups
- Navigate to the grouping tool.
- Select Asset Class as the grouping type.
- Add properties based on their category.
- Save your group.
This structure helps you identify trends, allocate staff correctly and run detailed reporting for each asset type.
Switching views between a single property and the portfolio level
Platuni makes it easy to move between high level information and detailed unit specific data. Switching views helps you stay informed whether you are reviewing daily tasks, monitoring performance or preparing for reporting cycles.
Portfolio view
The portfolio view gives you a complete picture of all your properties at once. You can use this view to:
• Review occupancy across your entire portfolio
• Monitor outstanding balances and payments
• Track maintenance activity across buildings
• Compare performance between locations
• Identify properties that need attention
• View grouped reporting based on location, ownership or asset class
This view helps owners and managers make strategic decisions and stay aware of trends.
Single property view
The single property view focuses on one property at a time. It displays:
• The units within the property
• Current residents
• Upcoming vacancies
• Active listings
• Maintenance requests
• Payments and charges for that property
• Property specific documents and notes
This view is where most daily work takes place. Site managers, leasing staff and maintenance teams often operate inside single property views.
How to switch between views
- Go to the Properties or Portfolio section.
- Select a property to move into the single property view.
- Use the back or Portfolio option to return to the full view.
- Use filters or saved groups to narrow the portfolio list when needed.
Switching is seamless and does not interrupt your workflow. This flexibility allows your team to move between strategic oversight and detailed daily management without losing context.
Why proper grouping and view switching matters
A well arranged portfolio structure supports:
• Faster decision making
• Clear assignment of responsibilities
• Accurate financial reporting
• Simplified maintenance coordination
• Stronger communication among staff
• Better visibility across the entire business
With clear groups and easy navigation, your team can manage complex portfolios with confidence, even as your organization grows.
